Vendor Rules & Regulations

Event Schedule

• Setup Day: September 25
• Event Hours: 9:00 AM – 6:00 PM daily
• Vendors must be fully set up and ready for business by 9:00 AM on all scheduled days.

Vendor Space & Fees​

• Vendor Fees are dependent on your setup size and specific needs.​
• All vendor fees must be paid in full at the time the signed contract is submitted.
• ​Vendor space is not guaranteed until payment is received.

Load-In & Load-Out

• Vendors attending the full event may load in on September 25 (setup day).
• Partial-week vendors may begin load-in at 7:00 AM on their first day of attendance.
• Vendors may leave booths set up overnight. Pit Stop Park and event organizers are not responsible for overnight security or loss.  Local law enforcement will do regular patrols of the area during the night.

Electrical Power

• Pit Stop Park has limited electrical power availability.
• We will do our best to accommodate vendor electrical needs; however, power is not guaranteed.
• Vendors are encouraged to plan accordingly and provide alternative power solutions if necessary.

 Weather Clause

• This is a rain or shine event. No refunds will be issued due to weather conditions, including but not limited to rain, wind, heat, cold, or other acts of nature.
• In the event of severe or unsafe weather, Pit Stop Park management reserves the right to delay, modify, or cancel event activities in the interest of public safety.
• Event organizers are not responsible for weather-related damage to vendor property, equipment, or merchandise.
• Vendors are responsible for properly securing their booths, tents, and displays to withstand weather conditions.

Liability & Insurance

• Vendors participate in the event at their own risk.
• Pit Stop Park, event organizers, staff, volunteers, and property owners assume no responsibility or liability for loss, theft, damage, or injury involving vendor property, staff, or merchandise.
• Vendors are responsible for securing their booths and inventory at all times.
• Vendors are strongly encouraged to carry general liability insurance covering their participation in the event.
• By participating, vendors agree to indemnify and hold harmless Pit Stop Park and event organizers from any claims, damages, or expenses arising from their booth, products, or activities.

General Conditions

• Vendors must provide their own tents, tables, displays, and setup materials.
• Vendor spaces must be kept clean, safe, and orderly throughout the event.
• Vendors must comply with all applicable local, state, and federal laws related to their products and operations.
